Let’s talk about meetings for a second.

Love them or hate them (usually both), they’re often a goldmine of insight:

- Customer pain points
- Messaging that actually resonates

But most of that value is lost the second the Zoom call ends.

Maybe you’re using Otter or Fireflies to take notes. Great. Now you’ve got a nice transcript sitting in a folder no one opens.

But if you know how to use AI right, you can turn every meeting into content, strategy, and action in minutes (we included a custom GPT at the bottom of this email to help you do exactly that).

The 4 Levels of AI Meeting Use

There’s a maturity curve here.

Most teams are stuck at level 1 or 2. But the gold is waiting at levels 3 and 4.

Level 1: Recording & Transcription
You’re recording your meetings. Great start, but the transcript usually just sits there.

Level 2: Automated Summaries
You get bullet points, action items, and a few highlights. It’s helpful, but still passive.

Level 3: AI-Enhanced Follow-Up
This is where things start getting interesting. And where you start saving serious time. Take that transcript and ask your AI:

“Write a follow-up email summarizing this client call and outlining next steps.”

Or:

“Turn this internal meeting into a task list organized by team.”

Level 4: Strategic Content Mining

This is where you start to go pro level. Your meetings are packed with insights—from messaging to objections to sticky phrases that your customers actually use.

Ask your AI:

“What’s a quote from this transcript I could turn into a LinkedIn post?”
Or:
“What recurring themes came up that could inspire a blog, webinar, or campaign?”

You’re sitting on a goldmine. You just have to start digging.

Here’s how we use AI to pull real value from meetings:

Sales call → Email sequence

“Summarize the key pain points this prospect mentioned, then write a 3-part email sequence addressing each one.”

Strategy meeting → To-do list

“Create an organized task list from this transcript with owner names and due dates based on what we discussed.”

Customer call → Thought leadership post

“Find a quote from this customer call and turn it into a bold, first-person LinkedIn post for a marketing audience.”

Internal meeting → Content calendar ideas

“List 5 content ideas based on the problems, objections, or opportunities discussed in this meeting.”

Every convo you’re already having can fuel your strategy, content, and comms.

Make It a Workflow, Not Just a One-Off

Here’s how to systematize this:

  1. Record + transcribe every meeting (Otter, Sembly, Fireflies…your choice)
  2. Export to a shared workspace (Notion, Google Docs, Slack, etc.)
  3. Run prompts or use a custom GPT to generate:
    • Follow-ups
    • Tasks
    • Content hooks
    • Messaging insights
  4. Assign, schedule, publish, execute

Pro tip: During the meeting, say stuff like “action item” or “that’s a great quote” out loud. It makes it easier for AI to pick up key moments later.
